Excel to PDF
Turn your Excel spreadsheet into a PDF, with every sheet, chart and format.
XLSX, XLS or ODS, up to 25 MB. Word and PowerPoint work too.
Your file goes to our server in Brazil, becomes a PDF and is deleted right away, never stored.
How to convert Excel to PDF in 3 steps
Choose the spreadsheet
Tap Choose Excel spreadsheet and select the XLSX or XLS. If the table is wide, check Each sheet on one page.
Convert
Tap Convert to PDF. The spreadsheet is uploaded, turned into a PDF on our server and deleted right away.
Download the PDF
Tap Download PDF. The PDF keeps the spreadsheet’s name, ending in .pdf.
Excel print layout or one page per sheet
| Option | Result | When to use it |
|---|---|---|
| Default (unchecked) | A4 pages, as Excel prints, with the sheet’s print area and page breaks | Reports to print and sheets already fitted to the page |
| Each sheet on one page | One page per sheet, as big as the whole sheet | Wide tables, schedules, shift rosters, sheets to read on screen |
When to send a spreadsheet as a PDF
- Quotes, reports and expense reports, so the other person sees the numbers without changing anything by accident.
- People without Excel can open the PDF on any phone.
- Formulas and draft sheets stay behind: only the results and the visible sheets go.
Where your file goes
This is one of the few PegaPDF tools that need a server: turning a spreadsheet into a PDF takes a full office suite, which doesn’t fit in a phone browser. The spreadsheet goes to our server, in Brazil, where LibreOffice converts it in a temporary folder of its own. As soon as the PDF is ready (or if something fails), the folder is deleted. The PDF goes straight back to your device and is not stored. The converter has no internet access, and the server log keeps only the format, the size range and the conversion time, never the file name or its content.
Limits
One spreadsheet of up to 25 MB at a time, up to 1 minute of conversion and up to 10 conversions every 15 minutes per person. When lots of people are converting at once, the screen asks you to try again in 1 minute.
Other tools
For text documents, use Word to PDF; for presentations, PowerPoint to PDF. To merge the spreadsheet’s PDF with others, merge PDF; to drop pages you don’t need, split PDF.
Frequently asked questions
Is my file uploaded to a server?
Yes. Unlike the other PegaPDF tools, which run in your browser, this one needs our server, in Brazil: the spreadsheet is uploaded, turned into a PDF and deleted right away, whether it worked or not. The PDF comes back only to you and is not stored. Nobody opens the spreadsheet, and the file name is not even sent.
Do all sheets go into the PDF?
Yes, one after another, in the workbook’s order. Hidden sheets are left out. If a sheet has a print area set in Excel, only that area goes in.
A wide table gets split across pages. What can I do?
Check Each sheet on one page before converting: the PDF page grows until the whole sheet fits, with no splits. Unchecked, the PDF looks like Excel’s print layout, which splits a wide table into A4 pages.
Do formulas show up?
The PDF shows the results, as on Excel’s screen, not the formulas. The values are the ones saved in the file.
Are charts included?
Yes, where they sit on the sheet. A very wide chart may move to the next page, as when Excel prints; with Each sheet on one page, it stays next to the table.
Does it convert old XLS and ODS files?
Yes. It takes XLSX, XLS (Excel 97 to 2003) and ODS (LibreOffice, or Google Sheets downloaded as ODS). It also takes Word documents and PowerPoint presentations.
What is the maximum size?
25 MB per file and up to 1 minute of conversion. A spreadsheet with tens of thousands of rows may take longer: in that case, split the sheets into smaller files or convert only the area you need.
Is there a conversion limit?
Up to 10 spreadsheets every 15 minutes per person, with no sign-up and no cost. A conversion that fails does not count.
Does a password-protected spreadsheet convert?
Not if it needs a password to open, and we never try to break the password. Remove it in Excel (File > Info > Protect Workbook) and upload again. Protection that only blocks editing a sheet is not a problem.
Do macros run?
No. Macros are turned off during the conversion, and the converter has no internet access. Data linked to another spreadsheet or a website is not refreshed: what is saved in the file is what you get.
