How to write a payment receipt (with a free template)

Updated on October 25, 2026

A receipt is proof that a payment was made. The payer keeps it as proof, and the person who received the money shows the debt was settled. You can write one by hand, but a PDF receipt is faster to send and does not get lost. This guide shows what a receipt needs and how to make one on your phone.

What a receipt should include

  1. The amount, in numbers and in words. Words leave no room for a changed digit.
  2. What it was for. The service, the product, the month’s rent or the installment.
  3. Who paid. Full name and, if useful, a tax ID.
  4. The date and place of payment.
  5. The signature of the person who received the money.

A receipt number and the payment method (cash, card, bank transfer, check) are optional, but they make the receipt much easier to find later.

Receipt template

Copy this template and replace what is in brackets:

Received from [payer’s name], the amount of [amount] ([amount in words]), for [what was paid], paid by [payment method]. This receipt confirms payment of this amount.

[City], [Month] [day], [year].

[Signature]

[Your name]

Step by step on your phone

  1. Open the receipt generator in your phone’s browser.
  2. Type the amount received. The amount in words appears below it, so you can check it.
  3. In Payment for, write what was paid. Be specific: “exterior painting” beats “services”.
  4. Fill in who paid and who received it. The tax ID is optional.
  5. Check the city and the date. The date starts as today.
  6. Tap Draw signature and sign with your finger, or skip it to sign by hand after printing.
  7. Tap Download receipt as PDF and send it by email or message.

Your details and signature stay saved on the phone. For the next receipt, tap New receipt: the number follows your sequence, and you only change the payer and the amount.

Installments, rent and services

  • Installment: “installment 2 of 5, English course”. The receipt confirms only the amount received, not the whole debt.
  • Rent: “October 2026 rent, 120 Oak Street, apartment 4”. One receipt per month.
  • Service: “gate repair, including new motor”. If you sent an estimate, mention its number.
  • Deposit: “50% deposit for the December 20 party”. Make another receipt for the balance.

Drawn or handwritten signature

A signature drawn on the phone goes into the PDF as an image, like signing on paper and scanning it. It is not a certificate-based digital signature. For everyday receipts that is usually enough. If the payer wants a handwritten signature, choose 2 copies, print and sign both: one for them, one for you.

A receipt is not a tax invoice

A receipt proves payment, but it is not a tax document. If the law in your place requires an invoice, issue it through the official system or ask your accountant.

Common mistakes

  • No amount in words. Without it, an extra zero is easy to add and hard to disprove.
  • “For services”. Too vague. Say which service and, if it applies, which installment.
  • No date or place. Both are part of the proof of payment.
  • Sending a screenshot. Send the PDF as a document: it stays sharp and the text can be copied.
  • Not keeping a copy. Keep a copy of every receipt, on your phone or printed.

What you type in the generator never leaves your device: the PDF is made right in your browser. To sign a contract or put the receipt together with other proofs of payment, use sign PDF and merge PDF. Before the job, send a price with the estimate maker.
